1. Members Discount

  • ROSA membership must be current at the time of registration and continue up to and including the final day of the conference.
  • Your ROSA membership number must be declared on the registration form and validated for discounts to apply.
  • ROSA membership will be checked by the conference registrar.
  • Take care when making bookings as changes to incorrectly submitted registrations will incur an administration fee.
  • For all associated conference ticket prices and event options, please visit the event website.

2. Tickets/Tax Invoices

  • Retain all electronic copies of your receipt and tax invoice, if applicable. The emailed tickets will be proof of purchase for the conference.
  • No other receipts/tax invoices will be issued.

3. Registration

  • Any person attending the ROSA virtual conference event via LiveWebinar must purchase a ticket to be registered. Individuals who are found to not have a valid ticket will be deemed to have violated this condition and will be invoiced for the full non-member event fee plus an administration fee.
  • Registrations are non-transferable.
  • Delegates are responsible for ensuring that their bookings are correct, and that they receive tickets and/or links for the events. In the event that the delegate does not receive a link at least one day prior to the scheduled event, an email enquiry can be sent to conference@romancewriters.co.za.

4. Event Refunds and Cancellations Policy

4.1 ROSA cancellation
Cancellation by ROSA of the ticketed conference event will result in registered delegates receiving a full refund.

4.2 Delegate cancellation

  • 100% refund if cancellation is received before 31st August 2020, less a 5% administration fee.
  • 50% refund if cancellation is received between 1st September and 30th September 2020, less a 5% administration fee.
  • No refund if cancellation is received after 30th September 2020.

5. Technical

  • The virtual event platform is browser-based and works best in Google Chrome. Delegates do not need special software to attend the sessions.
  • If delegates plan to attend any networking or breakout sessions, Zoom may be required. For delegates using a smartphone or tablet the Zoom app will be required.
  • Delegates are responsible for ensuring that their devices are able to see and hear the content in LiveWebinar and Zoom. ROSA takes no responsibility for individual delegates’ technical issues, and the Moderator will not be able to assist with any technical issues during the conference sessions.

6. Code of Conduct
Any person attending the ROSA virtual conference must abide by ROSA’s Code of Conduct, which is available here: https://www.romancewriters.co.za/code-of-conduct

7. Session Recordings

  • Some sessions will be recorded, and recordings will be available to the end of 2020 only to those who register for the conference.
  • No refund will be given in the event that the delegate is unable to attend a particular session due to load shedding, technical difficulties or for personal reasons, as the delegate will have access to the recordings to watch in their own time.
  • Recordings may not be copied, shared or distributed.

8. Program Changes

  • While all speakers and tutors have confirmed their appearance, no responsibility can be accepted for any changed circumstances that are beyond the control of ROSA or the conference committee.
  • In the event of a program change at late notice due to unforeseen circumstance, the changes will be communicated on the ROSA Website conference page, and on LiveWebinar.
  • It is the delegate’s responsibility to check the ROSA conference website for changes to the program. Emails will from time to time be sent out to registered delegates with information updates, but the delivery and receipt of these cannot be guaranteed.
